Overview
Tavioo is a property-response orchestration service operated by Orlando O Spencer I, Inc.. This Privacy Policy explains how Tavioo collects, uses, shares, protects, and retains information when people use Tavioo websites, applications, support channels, voice workflows, SMS workflows, email workflows, and related services.
Tavioo is designed for property operators, managers, teams, tenants, service providers, prospects, and other contacts who participate in maintenance intake, scheduling, status updates, support, and property-response workflows.
Information We Collect
- Account information, such as name, email address, role, organization, authentication, and profile details.
- Property-response information, such as property, unit, maintenance request, scheduling, status, routing, and follow-up details.
- Contact information, such as phone numbers, email addresses, preferred channels, consent state, and support history.
- Communication information, such as SMS messages, calls, voicemails, transcripts, emails, callbacks, and provider updates.
- Operational information, such as approvals, rules, audit events, request references, service lanes, and workflow state.
- Technical information, such as device, browser, IP address, logs, security events, and usage information.
How We Use Information
- Operate, secure, and improve Tavioo services.
- Authenticate users and enforce account, role, permission, and PII-access controls.
- Receive, classify, route, and track maintenance and property-response requests.
- Send transactional and service-related communications about intake, scheduling, confirmations, status, follow-up, and support.
- Maintain audit trails, consent records, opt-out records, security controls, and retention controls.
- Comply with legal, regulatory, carrier, security, and operational requirements.
SMS And Mobile Messaging
If you provide a mobile phone number and opt in to receive text messages from Tavioo, Tavioo may send transactional and service-related text messages about maintenance intake, request status, scheduling, confirmations, follow-up, support, and account-related workflows. Message frequency varies. Message and data rates may apply. Reply STOP to opt out and HELP for help.
Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties except as necessary to provide and operate the Tavioo service.
How We Share Information
- With authorized users in the organization or property workflow that controls the relevant request.
- With service providers and processors that help Tavioo operate hosting, database, communications, security, support, and analytics services.
- With communication providers when needed to send or receive calls, SMS, MMS, email, voicemails, transcripts, or related delivery events.
- With emergency, legal, security, compliance, or enforcement parties when required by law or needed to protect rights, safety, and service integrity.
Calls, Recordings, Transcripts, And Artifacts
Tavioo may process call metadata, voicemail, transcript, recording, call-log, or related communication artifacts when those capabilities are enabled for a workflow. Access to these materials is controlled by role, consent, audit, retention, and security rules.
Tavioo does not expose private communication-provider API keys or provider-signed artifact URLs to browser users. Recording and call-log retrieval is handled through controlled backend systems when enabled.
Retention And Security
Tavioo retains information for as long as needed to provide the service, maintain operational records, comply with legal and carrier obligations, resolve disputes, enforce agreements, and protect security. Specific communication artifacts may have shorter retention windows or deletion requirements based on account settings, consent, legal hold, or operational policy.
Tavioo uses administrative, technical, and organizational controls intended to protect information from unauthorized access, disclosure, alteration, and loss. No internet or communications system can be guaranteed to be perfectly secure.
Your Choices
- You may reply STOP to text messages to opt out of SMS communications from that sender.
- You may reply HELP to text messages for help.
- You may contact Tavioo to request privacy support, account support, or correction of information where applicable.
- Authorized organization administrators may manage users, roles, settings, retention, and access controls inside Tavioo.
Children
Tavioo is not directed to children under 13 and is intended for property-response and business operations workflows. Tavioo does not knowingly collect personal information from children under 13.
Changes To This Policy
Tavioo may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised effective or last updated date.
